"Non-Japanese (Residence Card Holder) Online Submission Form"

- For Non-Japanese Accepted Applicants who is already living in Japan and whose status of residence expires before August 31, 2024 and Non-Japanese Accepted Applicants who is already living in Japan and have the valid Residence Card until August 31, 2024, please be sure to answer all questions and attach the required documents on "Non-Japanese (Residence Card Holder) Online Submission Form". ICU will confirm your status of residence in Japan.

- For Non-Japanese Accepted Applicants who is residing abroad and are not eligible for obtaining a Japanese passport, please go to the page of "Certificate of Eligibility (CoE) Online Application Form"

- Accepted Applicants who have Japanese nationality, including those who currently do not possess a Japanese passport but have eligibility to apply for it, is required to enter with a Japanese passport. You do not have to apply for a visa, and you do not have to submit the documents listed below, but please prepare a Japanese passport which is valid for the entire stay in Japan.

If your Residence Card expires shortly after August 31, 2024,

You need to extend your period of stay in Japan at the Regional Immigration Services Bureau. You need to do this procedure by yourself. However, when you file for the application to the Regional Immigration Services Bureau, an official two-page form which should be completed by an organization (ICU) is required. We will send out the proper form to your address after we confirm both the submission of entrance procedure documents and the payment of matriculation fee.

If your Residence Card expires before August 31, 2024,
please be sure to answer all questions and attach the required documents on "Non-Japanese (Residence Card Holder) Online Submission Form".
Procedures may vary depending on the date the visa expires. We will reply to your email after we check the information submitted through the online. Please be noted that you might need to complete both the submission of entrance procedure documents and the payment of fees before the standard deadline.

If you have the valid Residence Card on and after August 31, 2024 and want to change your status of residence to “Student” from the others (e.g.: Dependent, Professor/Instructor),
please be sure to answer all questions and attach the required documents on "Non-Japanese (Residence Card Holder) Online Submission Form".
You need to apply for the change of your status of residence at the Regional Immigration Services Bureau. You need to do this procedure yourself. Those who do not hold Japanese nationality must have or obtain valid residence status in Japan to be admitted to ICU. Even if you complete the required entrance procedure after receiving a notification of acceptance from ICU, if you fail to obtain valid residence status in Japan, you will not be admitted to ICU. If ICU applies to the Immigration Services Agency of Japan for the Certificate of Eligibility (CoE) on your behalf, ICU assumes no responsibility for the results of the CoE application.

There are 2 steps to follow to complete the application.

<STEP 1>

Please prepare for the following documents before you start the online application. All the documents below must be attached to "Non-Japanese (Residence Card Holder) Online Submission Form" by the deadline.

1. REFERENTIAL DOCUMENT FOR FINANCIAL RESOURCES:

All Non-Japanese Accepted Applicants must submit this regardless of their status of residence in Japan to present the proof that they have enough funds to cover all expected living expenses during their study (excluding Tuition/Facilities fee while studying at ICU). You are required to provide ICU with concrete proof of available financial resources. This is a particularly important factor when the Ministry of Justice examines your financial stability as part of its visa procedures.
The minimum amount is 100,000JPY per month, in other words, the amount of the balance must exceed 1,200,000JPY (100,000JPY x 12 months).

Please refer to Living Costs & Useful Information for getting an idea of the approximate annual amount needed for studying at ICU.

Financial supporting documents should be provided in one of the following forms (Copies are NOT acceptable). Please see the below samples. Currency on referential documents may be other than JPY or USD if it is difficult to obtain such documentation. ("Certificate of Income" is NOT acceptable)

  • A recent bank statement showing your or sponsor’s name as an account holder and the amount of funds available, with bank's official stamp or a signature of a bank official. The stamp and signature must be original.
  • An original letter on official bank letterhead showing your or sponsor’s name as an account holder and the amount of funds available, with bank’s official stamp or a signature of a bank official. The stamp and signature must be original.
  • An original letter on official sponsoring organization's letterhead, including your name, the amount of the award available to you, and the period when you will be eligible to receive the funds, with organization's official stamp or a signature from the sponsor. The stamp and signature must be original.

The scanned copy of original documentation must be attached to "Non-Japanese (Residence Card Holder) Online Submission Form", and the originals should be sent through the registered mail (簡易書留) to ICU along with other entrance procedure documents by the postmark deadline (For Undergraduate Accepted Applicants: June 3, 2024, For Graduate Accepted Applicants; June 14, 2024).

2. SUPPORTER'S PLEDGE

- Please print out the form and have it filled out by your MAIN SUPPORTER. For those who do not live with the supporter or the supporter is an organization, we strongly recommend to prepare for the form well in advance to the deadline.
- "Signature of Supporter" or "Signature of Agency Official" must be handwritten by the MAIN supporter. Please use a black or blue pen.
- If all the information are provided in 1. Referential Document for Financial Resources, and there is a handwritten signature on the document, this form could be replaced to that document.
- The scanned copy of original documentation must be attached to "Non-Japanese (Residence Card Holder) Online Submission Form", and the originals should be sent through the registered mail (簡易書留) to ICU along with other entrance procedure documents by the postmark deadline

3. COPY OF PASSPORT:

Please submit a clear photocopy of the pages of your passport showing your name, date of birth, place of issue, passport number, dates of issue and expiration, issuing authority and photo.
The copy of your passport will be used for the confirmation of visa application and also for the registration of your name at ICU.
If you have more than one nationality and the name on your passport have been used for the Residence Card is different from the name you want to register at ICU, please send copies of both passport along with other entrance procedure documents and notify which name you want to use for which.

You must be responsible for keeping your passport valid at all times.
Passports are issued for a designated period of time, which varies from country to country, and each passport has a specific expiration date.

4. COPY OF RESIDENCE CARD:

Please submit a copy of the Residence Card you currently hold. ICU will check your current status of residence in Japan.

As soon as you have prepared the required documents, please access to the online application, answer all questions and attach the documents/certificates you prepared.

Part 1-1. Personal Information and 2. Residence Card Information:

- You need to fill out the questions based on the information of your Residence Card.
- Please fill out all the answers in CAPITAL LETTERS.

Part 2:

- ICU needs to certify that you have sufficient funds set aside to use as your living expense while studying at ICU. This living expense should NOT include your funds for tuition and fees. The total amount of living expense must exceed JPY 100,000 per month, and can be provided by multiple resources.
- The scanned copy of original documentation verifying the funds claimed, referred to as "Referential Document for Financial Resources", must be attached to "Non-Japanese (Residence Card Holder) Online Submission Form", and the originals should be sent through the registered mail (簡易書留) to ICU along with other entrance procedure documents by the postmark deadline (For Undergraduate Accepted Applicants: June 3, 2024, For Graduate Accpeted Applicants; June 14, 2024).
